Effective for courses commencing in the academic year 2025 / 26

1 . Definitions

  • “College” / “we” / “our” – Madinah College (UK).
  • “Student” / “you” / “your” – an individual accepted onto and enrolled in a College Course.
  • “Course” – any programme, diploma, or short course delivered by the College.
  • “Start Date” – the first scheduled teaching day of your Course.

2 . Enrolment & Fees

2.1  Payment options

You may pay in full at enrolment or choose the flexible instalment plan. Payment deadlines are fixed; failure to pay on time may lead to loss of access to classes and resources.

How to select a plan – You must indicate your chosen option when completing the online enrolment form. Invoices are issued immediately; settlement constitutes acceptance of these Terms.

2.2  Missed payments

 

  1. Withdrawal – If an instalment remains unpaid thirty (30) days after its due date, the College may withdraw you from the Course with no entitlement to refund of amounts already paid.

2.3  Proof of identity

You must upload a clear photo or scan of a valid passport, UK driving licence or university/college photo‑ID with your application.

2.4  Financial responsibility

You are responsible for ensuring that the method of payment you use (e.g. bank card, authorised sponsor) will cover all fees due. The College is not responsible for charges imposed by your bank or currency‑conversion provider.

3 . Commitment & Attendance

  1. Commitment. Apply only if you can attend for the entire duration of your Course.
  2. Punctuality & absence. You must attend and arrive on time for all lectures, seminars, and tutorials. Absences (ill‑health or exceptional circumstances) must be reported in advance to in**@************ge.uk.
  3. Minimum attendance standard. Falling below 80 % attendance may lead to academic penalties or removal from the Course.

4 . Communication

  1. Telegram and Dreamclass is the primary channel for notices, teaching materials, and timetable changes.
  2. You are responsible for installing the app and checking messages.

5 . Recommendation Letters

A formal letter of recommendation may be requested only after completing either: – one full academic year of the Qur’an Memorisation & Tajweed Programme; or – the full 2‑Year Arabic & Islamic Sciences Diploma.

6 . Deferment

You may not defer your place to a later academic year. A fresh application (with prevailing fees) will be required.

7 . Refunds & Cancellations

Statutory consumer “cooling‑off” rights for distance contracts are not waived, but will not apply once teaching or digital‑content delivery has begun, in line with the Consumer Contracts Regulations 2013.

8 . Data Protection & Privacy

  1. We process personal data in accordance with the UK GDPR and the Data Protection Act 2018.
  2. Purpose – administration of your studies, academic progress, funding, pastoral support, and alumni relations.
  3. Lawful bases – contract performance, legal obligation, legitimate interests, and (where applicable) consent.
  4. Your rights – access, rectification, erasure, restriction, data‑portability, and objection.

9 . Code of Conduct & Academic Integrity

  1. Students must abide by Islamic etiquette and College conduct rules at all times (including online sessions and chat groups).
  2. Academic dishonesty (plagiarism, cheating, unauthorised collaboration) is grounds for dismissal without refund.
  3. Harassment, discrimination, intimidating or abusive behaviour is strictly prohibited.

10 . Intellectual Property

  1. Course notes, recordings, and other materials remain © Madinah College or the respective author.
  2. You may download or print materials for personal study only. Reproduction, sharing, streaming, or resale is prohibited without prior written permission.

11 . Health, Safety & Well‑being

  1. You must comply with College health‑and‑safety instructions while on campus or attending College‑organised events.
  2. Report accidents, hazards, or safeguarding concerns immediately to a staff member or in**@************ge.uk.

12 . Equality, Diversity & Disability

The College welcomes students of all backgrounds. We will make reasonable adjustments for disabilities or specific learning needs—please notify in**@************ge.uk as early as possible.

13 . Changes to Courses & Services

  1. We may vary timetables, lecturers, content, or assessment methods where reasonably necessary (e.g. illness, low enrolment, force majeure).
  2. Material changes will be communicated in writing; if we cancel a Course before it starts, fees will be refunded in full.

14 . Force Majeure

The College is not liable for failure or delay caused by events beyond its reasonable control (e.g. natural disaster, pandemic, strikes, governmental restrictions).

15 . Limitation of Liability

  1. Nothing limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded by law.
  2. Subject to the above, our total aggregate liability to you is limited to the amount of fees actually paid for the relevant academic year.

16 . Complaints Procedure

Raise concerns informally with your Tutor first. If unresolved, submit a written complaint to in**@************ge.uk; the matter will follow the College’s formal Student Complaints Policy

 

18 . Entire Agreement & Variation

These Terms, together with any policies referenced herein, form the entire agreement between you and the College. We may revise the Terms from time to time; the latest version will be published on the College website and circulated via Telegram. Continued attendance after an update constitutes acceptance of the revised Terms.
